AI workflow and process redesign

Redesign the work first, then add AI.

Most AI pilots stall because the work around them stays the same. We map how work really flows today, find the bottlenecks, and redesign the steps, roles, handoffs, approvals and decision rights for people and AI agents working together, so the technology has something solid to run on.

Led by Shirley Lim, Principal AI Strategist, who studied business process redesign in her Postgraduate Certificate in IT (University of Newcastle) and achieved high distinctions.

What we redesign

Four layers of how work gets done

01
Workflows and handoffs

We map each step as it happens today, remove waste and rework, and decide where an AI agent helps and where a person decides.

02
Roles and decision rights

Who approves, who checks and who is accountable when an AI agent acts, written down so everyone knows.

03
Controls and approvals

Human checkpoints, an audit trail and escalation built into the process, in line with the PDPA and IMDA guidance.

04
Measures

A baseline before anything changes, then simple measures afterwards: hours saved, error rates and turnaround time.

Workflow redesign stands on its own. Where it helps, we then automate the redesigned process with one of our pre-built automations or a custom AI agent.

How it works

From today's process to the redesigned one

01
Discover

Short interviews and walk-throughs with the people who do the work, and the manager who owns it.

02
Map

A current-state process map with the bottlenecks, rework and waiting time made visible.

03
Redesign

A future-state process for people and AI agents, with roles, decision rights and controls.

04
Pilot

Run the new process with one team on real work and measure it against the baseline.

05
Roll out

Updated SOPs, training and handover, plus an optional automation once the process is stable.

What you get

Clear, usable outputs

  • ✓ Current-state and future-state process maps
  • ✓ A prioritised list of bottlenecks and opportunities
  • ✓ A RACI for people and AI agents: roles and decision rights
  • ✓ Updated SOPs and approval rules
  • ✓ A baseline and a simple measurement plan
  • ✓ A recommendation on what to automate, and what not to
Methods we use
  • Process mapping (BPMN)
  • Value-stream mapping
  • Lean waste removal
  • RACI
  • Human-in-the-loop design
  • Change management

How pricing works

Every project is scoped first: one process, one team or a department. Scope and fees are agreed in writing before work begins.

First-time clients: special onboarding packages are shared during your consultation.

Frequently Asked Questions

Because automating a messy process only makes the mess faster. Redesigning first removes steps that should not exist, makes decision rights clear and gives the AI a stable process to run on.
No. Many teams run the redesigned process with the tools they already have. If automation would help, we recommend it and you decide.
A single process usually takes 3 to 6 weeks from discovery to pilot. A whole department takes longer and is scoped with you.
The people who do the work, their manager and someone who can approve changes. Interviews are short and fit around your schedule.
A roadmap decides which use cases to pursue. Workflow redesign changes how the chosen work is actually done, step by step, with roles, controls and measures.
